President, James Lawrence announced the appointment of new Trustee Board Member, Kelli Jennings to Secretary and new manager for Crawford Community Management Carole Altschuler. Ms. Altschuler has been assigned and is currently getting acclimated to the Primrose Lane Community. Ms. Altschuler stated that if she is not available at the office to please leave a message and she will return the call within a reasonable amount of time.
EXTERMINATOR
Mr. Lawrence introduced Exterminator Mike Callahan of Callahans Termite
and Pest Control of Brick, NJ. After interviewing other reputable pest control
companies, Callahans won the bid due to favorable costs, guarantees, experience,
work ethic and most of all commitment to customer service. Mr. Callahan with
25 years of experience stated that he offers a flat rate fee on a per year basis
with 5 year guarantee on extermination of ants, bees and termites (excludes
existing damage). The company will respond to complaints within one to two business
days. Callahans is insured and bonded and will provide extermination certifications
on sales and resales.
The question was asked how one would determine if an inspection is necessary? Callahan responded that homeowners would receive an annual inspection notice and are encouraged to take advantage of the inspections to determine if infestation has occurred.
Another homeowner asked if squirrels or birds in the attic were part of his service? Mr. Callahan stated that while birds and squirrels are not covered, he will refer trappers where appropriate. He also suggested that homeowners make the proper physical corrections to vents, etc. as a preventative measure.
There were several complaints regarding ants outside of the units. Callahan said that he will speak with Mr. Lawrence to address overall complaints. If outside treatment is necessary, you do not have to be at home.
BRICK MUA PROJECT
Mr. Lawrence received the appraisal from Brick M.U.A. Project. The appraisal
from an independent company ohired by Primrose Lane Condo Association has also
been completed.
ALUMINUM SIDING PROJECT
There is one building left to be completed, Building 3. All buildings are paid
for except for the one not completed.
There were several complaints regarding the existing siding. Mr. Lawrence requested homeowners give him a list of complaints on the existing siding.
COMMUNITY COOKOUT
Primrose Lane Condo Association is proud to announce its first Primrose Lane
Family Cookout to be held Saturday, June 15, 2002 from 12noon until 5pm. Rain
date is Sat., June 29. There is no charge for this event. Come out and enjoy
the music, food, fun and games. Most of the activities will be located near
the pool. Prior to the cookout, there will be a brief meeting held at the clubhouse
at 11:30 am
2002 FIRST QUARTER YEAR TO DATE BUDGET COMPARISON
Budgets were mailed prior to the meeting for owner review so that they may come
prepared with questions.
There was a question regarding Legal Collection fees. $1225 was collected; however the attorney fees were $1291.
A homeowner suggested that the lawyer be eliminated and board should utilize small claims court to collect association fees. This action would serve the same purpose and reduce legal fees.
Another homeowner asked how many existing delinquent accounts were they? Alan Crawford replied 16 accounts and 8 of those were severe enough to be referred to the attorney for further action.
Mr. Lawrence announced that to date, we were $16,000 in the black. The main driver for us being under budget was snow removal (due to a mild winter), and general maintenance costs.
A homeowner asked how much was currently in the reserve account? Mr. Lawrence stated $50,063.14.
In regards to questions about the outside maintenance or lack thereof, Mr. Lawrence is currently interviewing work crews to provide on-call service.
LANDSCAPING
There were complaints by several homeowners regarding aesthetics, bare spots,
dying trees, communication barriers with workers and response time. Those issues
will be addressed by Alan Crawford. If a problem exists, Mr. Lawrence asked
that he be made aware.
CAI COMMUNITY ASSOCIATIONS INSTITUTE
Gives communities information and helps to them to better run the association
from a technical standpoint. Provides insight and provides information on servicing
the community.
It was determined that if the board could achieve perfection from a technical basis (handling all complaints, etc.) there would still be problems in the community. Our goal is focus attention on service and the people in the community. One opportunity is the cookout which presents an opportunity to meet people in the community.
POOL
The pool will open on June 8th. Information on badges will be sent in the mail.
If maintenance fees are in arrears, you will not be able to utilize the pool
facility.
MISCELLANEOUS
There were several complaints regarding vandalism, children playing in the parking
lots and neighbor disputes. Suggestions were made to implement fines and conflict
resolution procedures.
